Conditions attached to a Prairie State Joliet Illinois prairie group fare

A group fare is not just a price. It is an offer that holds only while certain conditions are met, such as paying on time and sending names before a cut-off. Miss a step and the offer can lapse, so it helps to know the steps from the start.

These conditions belong to the airline, not to us. Our part is to ask for them, put them in the quote exactly as received, and remind you of each date as it approaches, so the organiser is never working from memory.

How a group fare moves from offer to ticket

• Quote issuedThe fare is offered for a stated validity period, written on the quote.
• You accept in writingAcceptance starts the airline's process; nothing is payable before this.
• Deposit dateA first payment is due by the date the airline sets.
• Name-list deadlinePassenger names, as on ID, are sent by the airline's cut-off.
• Balance dateThe remaining payment is due before ticketing, per the terms.

Who decides what

How a group fare holds or lapses

A fare normally holds while each stage is completed by its date. If the validity ends before acceptance, or a payment or name list is late, the airline may withdraw the offer or reprice it. We tell you what the terms say, not what we hope they say.

Two groups with the same fare can face different outcomes simply because one paid and listed names on time. The dates are the part you can control, so diarise each one the day the quote arrives, and ask us to send reminders ahead of them.

If numbers drop

• Tell us as soon as you know; early notice gives more options.
• The airline's terms decide whether seats can be released and on what basis.
• A deposit may or may not be affected; the written terms say which.
• Reductions are usually easier before the name-list deadline than after it.
• Ask for the reduction rule in writing before accepting, not after.

Questions to ask before accepting

Read the conditions as carefully as the price. Ask who receives the deposit, what happens to it if numbers fall, whether the name list can be revised in stages, and what the last safe date to change the headcount is. We will put each answer in writing so the organiser holds the same terms as everyone else involved.

If a condition does not suit your group, say so before accepting. Once the quote is accepted in writing, the airline's terms are what apply.

Keep the quote email, because it is the reference for every date and condition during planning.
